Founded in 2007 and located in New York City's West Village, the Academy of St. Joseph (AoSJ) is a small, independent Catholic school serving students from Pre-Kindergarten through Grade 8. Who We're Looking For
The right person for this role is a natural connector — someone who lights up when meeting new families, who follows up without being asked, and who understands that enrollment is ultimately a relationship business. They are organized enough to manage a complex pipeline and creative enough to tell AOSJ's story in ways that resonate with the families this school is meant to serve.
They are comfortable moving between the relational and the operational — from a warm conversation with a prospective parent to an enrollment report for the Board — without losing energy or quality in either direction. They believe in the mission of Catholic independent school education, and that belief comes through in how they show up every day.
AOSJ is entering a new chapter of leadership and growth. The next Admissions & Enrollment Coordinator will play a central role in shaping the school's next chapter — and will be recognized and rewarded for doing so.
Responsibilities
Admissions Pipeline & Prospective Family Experience
Serve as the primary point of contact for prospective families from first inquiry through enrollment, providing a warm, responsive, and informed experience at every touchpoint
Actively manage and nurture the inquiry-to-application pipeline — following up with prospective families, answering questions, and sustaining momentum through the decision process
Conduct admissions interviews and student assessments in coordination with division heads
Support the scheduling and coordination of applicant visiting days across divisions
Communicate admissions decisions and manage the offer and acceptance process
Build and maintain relationships with feeder nursery schools, early childhood programs, educational consultants, and community organizations to generate referrals and expand the school’s network
Attend school fairs, nursery school visits, and community events; register for and represent AOSJ at relevant external forums, including EMA, ISAAGNY, DECA, and Parents League meetings
Enrollment Events & Community Outreach
Plan and execute all admissions events: open houses, school tours, information sessions, and virtual engagements, including coffee talks and panel events
Develop open house flyers, invitations, and event materials for distribution across print and digital channels
Coordinate and prepare student ambassadors from the upper school to give tours and represent AOSJ authentically to prospective families
Establish and steward a parent ambassador group — current families who can speak to the AOSJ experience with prospective parents
Set up open house tours for educators, nursery school directors, and educational professionals
Yield Management & Retention
Follow up proactively with accepted families before enrollment decisions are made — understanding hesitation, addressing concerns, and making the case for AOSJ
Lead the annual re-enrollment process: issue contracts on a clear timeline, track outstanding commitments, and engage at-risk families before they quietly disenroll
Track and analyze reasons for non-enrollment through post-decision outreach and surveys; use findings to refine strategy year over year
Liaise with current and newly enrolled families to surface and address concerns early, with particular attention to new family experience in year one
Data, Reporting & Board Communication
Maintain accurate, up-to-date records across the full enrollment funnel: inquiries, applications, acceptances, enrollments, and attrition
Produce weekly enrollment updates for the Head of School
Prepare and present monthly enrollment slides for the Board of Trustees
Track acceptances, family decisions, school destinations, and retention data
Analyze enrollment trends to identify gaps, opportunities, and year-over-year patterns
Support development of forward-looking enrollment projections by grade level to assist with budget and staffing planning
Stay informed on trends and best practices in independent school admissions and enrollment management
Financial Aid Administration
Manage the financial aid application process in coordination with the Head of School and Board
Administer the financial aid platform (currently TADS; transition to Clarity under consideration)
Issue financial aid award communications to families with accuracy and discretion
Maintain confidentiality and care in all financial aid-related family interactions
Enrollment Systems & Operations
Manage the admissions database and ensure accurate, timely processing of applications, supporting documents, and enrollment contracts
Issue and track enrollment and re-enrollment contracts for new and returning families
Administer key enrollment platforms, including FACTS and Ravenna
Maintain various enrollment-related subscriptions, licenses, and advertising placements (e.g., Parent Review and other parent platforms)
Organize and systematize enrollment folders and the end-to-end admissions workflow
Formalize and update the school’s Enrollment Plan annually in collaboration with the Head of School
Social Media & Digital Communications
Develop, curate, and post engaging content across AOSJ’s social media platforms (Instagram, Facebook, and others) that highlights student life, community events, academic programming, and admissions milestones
Create and manage a social media content calendar aligned with the admissions cycle, key school events, and enrollment goals
Collaborate with faculty, staff, and students to gather stories and content that reflect AOSJ’s distinctive identity and culture
Monitor social media engagement and analytics to inform strategy and optimize reach
Maintain and update admissions-related pages on the school website, ensuring content is accurate, current, and visually engaging
Assist in the creation of digital newsletters, promotional emails, and other online communications
Coordinate photography and videography for admissions events and marketing purposes; occasionally capture short-form content for social platforms
Maintain brand consistency across all digital channels and printed materials
Prepare slides and visual materials for virtual fairs and board presentations
Alumni Engagement
Maintain an email database of graduates, former families, and Academy community members
Cultivate light engagement with AOSJ’s young alumni community (graduating classes from ~2015 onward), with a focus on their role as enrollment advocates — speaking at open houses, connecting with prospective families, and amplifying the school’s story
Create occasional opportunities for alumni involvement in school life and admissions events
High School Outplacement/Exmissions Support
Assist the Head of School and Assistant Head of School with 8th-grade outplacement/exmissions, including coordination of transcript and record release, management of the DOE My School application portal, and family communications
Support parent education on the high school application process as needed
Attend relevant high school admissions events and cultivate familiarity with the NYC independent and Catholic high school landscape
Communicate with directors of enrollment at partner high schools to support student placement

Digital fluency: comfortable with social media platforms, content creation tools, and website CMS environments
Time management: able to manage multiple projects simultaneously without losing quality or responsiveness
Bias toward initiative: you identify what needs to happen and make it happen without waiting to be told
Genuine alignment with the mission of a Catholic, values-driven school community
Qualifications
Required
Bachelor’s degree required
Minimum 3–5 years of experience in admissions, enrollment management, or a closely related field, preferably in an independent school or educational setting
Strong interpersonal and communication skills; ability to build rapport quickly with diverse families, students, and community partners
Demonstrated experience creating and managing social media content (Instagram, Facebook, and similar platforms)
Strong writing, editing, and storytelling skills
Proficiency with Google Suite, Microsoft Office, and database applications
Excellent organizational skills and ability to manage multiple priorities simultaneously
Preferred
Familiarity with FACTS, Ravenna, TADS, or comparable admissions and SIS platforms
Experience with financial aid administration
Familiarity with website content management systems (Finalsite, WordPress, or similar)
Knowledge of the NYC independent school market, including familiarity with ISAAGNY, EMA, DECA, and the Parents League
Experience working in a Catholic or faith-based school environment

This is a role designed for someone who wants to build. The Academy of St. Joseph is at an early and important moment in its growth— strong academic programming, a deeply committed community, and a clear path toward meaningful enrollment growth. The right person will have the opportunity to shape what a best-in-class admissions operation looks like at a school of this scale, and to grow with the institution as that work takes hold. Compensation will be reviewed annually with attention to performance and school growth.
Salary range: $70,000–$90,000, commensurate with experience. Benefits include health insurance, retirement plan, and professional development support. This is a full-time, 12-month position based on-site at AoSJ's campus in New York City, with some evenings and weekends required for school events.
