International School of Brooklyn seeks a dynamic, organized, and detail-oriented people-person to support the school’s fundraising operations and key advancement initiatives. The successful candidate will be creative, eager to learn, with the ability to foster strong relationships within the school and community. This role will report to the Director of Advancement and Marketing and will join a team of committed and collaborative colleagues.

General Summary
The Advancement Associate is a key member of the Advancement Office who works to strengthen ISB’s culture of philanthropy and ensure smooth, effective execution of all development efforts. This position encompasses a variety of responsibilities that support all facets of the Advancement Office’s work, including annual giving, special events, capital campaigns, and community relationships. This role will have a particular focus on Advancement systems coordination and data input, analysis, and reporting. The Advancement Associate must work well as a collaborative member of the Advancement team, participate in all advancement events, and partner with other internal teams to help cultivate a culture of philanthropy.
Essential Duties
Assist the Advancement Department in all areas including fundraising, donor relations, marketing, and volunteer coordination;
Assist with donor prospect research utilizing Veracross software and online resources;
Coordinate a variety of donor mailings, including invitations and newsletters;
Prepare reports, memos, forms, correspondence and presentations when needed;
Attend and takes minute at Development Committee meetings and distribute the minutes promptly;
Order materials, supplies, and equipment upon approval of the Director of Advancement and Marketing;
Maintain accurate and detailed calendar of advancement events, due dates, and schedules;
Maintain database by updating contact information, professional titles, meeting notes and actions, and relationship links for all constituents, including donors, alumni, and volunteers, in Veracross with a high degree of accuracy;
Generate, personalize, and mail timely gift acknowledgement letters and tax receipts (typically within 48–72 hours of receipt);
Create and maintain tracking systems (i.e. campaigns, funds and appeals used for gift entry), spreadsheets, and databases to support Advancement Office activities and assigned projects;
Track guest attendance for special events in Veracross;
Receive and process confidential and sensitive information with discretion and in accordance with established guidelines or legal standards;
File electronic and/or hard copies of correspondence and donations;
Assist prospect screening, research, and segmentation;
Accurately record all charitable contributions (cash, checks, credit cards, stocks, and matching gifts) into the Veracross database;
Collaborate with the Business Office to ensure all gifts are coded correctly and reconcile monthly development reports with the general ledger;
Prepare and provides daily and weekly financial and statistical reports for the Advancement Office;
Prepare and provide monthly and year-end fiscal reports to the Business Office and auditors;
Support all planning and logistics for Advancement Office meetings and events; partner with internal and external vendors for catering and decor as needed; manage RSVPs; prepare meeting/event materials; assist with on-site logistics and handle any other event-related tasks as directed by the Director of Advancement;
Serve as one of the primary, outward-facing representatives of the ISB Advancement team to current students and families; grandparents, alumni families;
Manage the school store online platform and inventory;
Pursue professional development opportunities as appropriate to remain current with best practices; and
Perform other related projects and duties as needed and assigned.
Qualifications and Prerequisite Skills
A Bachelor’s degree is required.
Excellent written and oral communication skills; ability to be an effective public speaker who can relate to different audiences.
A high degree of organization, resourcefulness, and attention to detail.
Ability to multitask, keep calm under pressure, and treat everyone with respect.
Curiosity, a growth mindset, flexibility, and a good sense of humor.
A positive attitude and proactive approach to completing projects, as well as improving processes and procedures.
Strong interpersonal skills, with a sincere commitment to developing relationships with all constituents of the school community–faculty and staff, students, parents, Board members, and grandparents.

Proficiency with technology including databases and spreadsheets; ability to learn new technology and systems commensurate with program requirements.

Commitment and ability to cultivate a welcoming culture in which all members of our community feel valued and appreciated.
Previous non-profit fundraising experience or experience in independent schools a plus..
Ability to communicate in French and/or Spanish a plus.
Compensation and Benefits
This is a part-time position for 20-25 hours a week. The salary range for this position is $30/hour. The start date is August 1, 2026, with the possibility to start as early as April 2026.
