The mission of Girls Preparatory School (GPS) is to inspire each girl to lead a life of integrity and purpose by engaging her mind, cultivating her strengths, and nurturing her self-confidence and respect for others. Currently, 130 faculty and staff serve approximately 500 girls in grades 6-12 with a college preparatory curriculum that includes a full complement of courses in the humanities, STEM, the arts, and more, as well as a rich and varied cocurricular program.

Position Summary
The Database Manager oversees the overall health, integrity, security, and strategic use of the school’s Raiser’s Edge NXT database within the Development Office. This role ensures data accuracy and supports reporting, query development, and constituent segmentation to advance fundraising operations and inform decision making.
This position manages all gift processing and data operations, including entry, reconciliation, pledge tracking, and donor acknowledgments, in coordination with the Business Office. They also support event and fundraising efforts through registration, reporting, and data management while providing list generation and production support for communications and stewardship.
The Database Manager serves as a resource for staff training and day to day use of Raiser’s Edge NXT, helping maintain documentation and standard procedures. In partnership with Advancement Services, this role supports audit preparation, donor reporting, and ongoing improvements to systems and processes to ensure accuracy, compliance, and a strong donor experience.
Duties and Responsibilities
Oversee the overall health, integrity, security, and strategy of the Raisers Edge database, updating information for constituents as needed;
Drive strategic reporting and advanced query development within Raiser’s Edge to support fundraising operations and leadership decision-making;
Serve as a key leader in Raiser’s Edge NXT training and adoption, providing ongoing support, education, and SOP development for Development staff;
Maintain and update the Raisers Edge User’s Manual;
Oversee all gift processing and data entry operations, including entering, processing, and reconciling all gifts; managing pledge documentation and reminders; and ensuring the accuracy of all constituent records, including demographic, annual, and organizational updates;
Manage all aspects of gift acknowledgments and coordinate with the Director of Development and administrative staff to ensure a seamless, accurate, and donor-centric process;
Execute weekly and monthly reconciliation of all gifts, partnering closely with the Business Office to ensure compliance, accuracy, and alignment across systems, including third-party gift processing platforms;
Support event and fundraising operations, including event registration, attendance tracking, reporting, auction support, sponsorship tracking, invoicing, and post-event data entry;
Provide ongoing support to the Development team through list pulls, segmentation, exports, and production support for mailings, nametags, tribute records, and stewardship-related mailings;
Oversee the creation, accuracy, and publication of the Preliminary and Annual Report, including partnering with MarComm for website components, ensuring all donor recognition and reporting reflects the highest standards of accuracy and stewardship;
In partnership with the Director of Advancement Services, coordinate the annual audit of gift records, including tracking outstanding pledges and ensuring compliance with internal and external standards, while contributing to overall team support and continuous improvement of database systems and processes; and
Perform other duties as assigned by the Director of Development.
Desired Qualifications
Bachelor’s degree preferred;
At least 2–4 years of experience in database management, advancement operations, or related administrative support, ideally in an independent school or nonprofit setting;
Experience working in or managing a database required, with familiarity with Raiser’s Edge NXT or similar CRM systems preferred;
Demonstrated ability to manage and maintain accurate data, including gift entry, reporting, and constituent records, with exceptional attention to detail;
Strong analytical and problem solving skills, with the ability to translate data into clear, actionable reports that support development efforts;
Excellent organizational and project management skills, with the ability to manage multiple priorities and meet deadlines; and
Effective communication and collaboration skills, including the ability to support team members and promote best practices in database use, with a commitment to the mission and values of Girls Preparatory School.
