Position Title: Constituent Engagement Coordinator
Hours: Full-Time, 40 hours per week
Reports to: Director of Development
Summary
The Constituent Engagement Coordinator (CEC) will be responsible for maintaining relationships with current parents, alumni, and alumni families, keeping those alumni and families informed, engaged, and committed to Rectory. The CEC is charged with expanding Rectory’s relationships with our constituents - primarily alumni - to help the school strengthen its donor pipeline. The CEC will provide leadership for alumni programming, including relationship building, program development, volunteer recruitment and management, event planning, and other activities involving current families, alumni, and their families.
Responsibilities:
Engagement
Research and generate ideas and programming to improve and strengthen alumni engagement.
Build an engagement strategy to establish and nurture relationships with alumni and their families.
Develop multiple channels, including social media, to foster dialogue with alumni. Work closely with the Communications Department on content and scheduling.
Create and maintain a constituent relations calendar.
Create meaningful avenues for alumni participation in the life of Rectory.
Identify and recruit alumni to visit campus to talk to students about potential careers.
Act as a liaison between the Rectory Parents Association and the Development Office.
Research and profile the backgrounds of all alumni, and establish mechanisms to keep this information current.
Identify areas of the country with a critical mass of alumni, including those enrolled in secondary schools and colleges, to plan and implement visits in small groups, larger events, and individual meetings.
Develop, support, and refine the young alumni program; Serve as the primary point of contact for young alumni (first 20 years out), including managing class agents.
Connect donors who are interested in learning more about giving with other members of the Development Office, as appropriate.
Stewardship
Implement a high-performing, comprehensive donor relations and stewardship program to increase donor engagement and advance fundraising goals by enriching relationships between donors and Rectory.
Support gift acknowledgements processes, pledge reminders, and stewardship touchpoints in collaboration with other members of the Development Office.
Assist in the design and content creation for the Annual Giving Report, Endowment Reports, and other reporting as directed.
Create and maintain accurate stewardship tracking to support fundraising efforts.
Class Agent Program
Re-establish the Class Agent program.
Recruit, orient, and support all volunteers within a class range as they assist in keeping alumni, young and old, connected to Rectory.
Establishing a Class Agent calendar.
Maintain updated contact information with class agents for all alumni and recruit and train new class agents as needed to keep at least two for each class.
Communicate regularly with class agents about their assignments, results, and successes.
Events
Assist in event planning and manage event logistics.
Attending on and off-campus events as needed.
Plan and execute successful events and programs specifically for young alumni and creatively increase attendance.
Recruit and develop a volunteer event committee for specific events; coordinate all staff/volunteer event duties and responsibilities.
Other duties as assigned by the Director of Development.
Requirements:
A Bachelor’s degree.
Strong verbal, digital, and written communication skills.
Willingness to initiate and maintain constituent relationships.
Ability to work within a framework while also taking initiative to achieve desired outcomes
Keen attention to detail
Is organized and process-oriented
A collaborative approach to work within the Development team and across school departments
Knowledge of or willingness to understand the unique characteristics of independent school education.
Experience using Customer Relationship Management (CRM) systems, preferably Raiser’s Edge, and office software applications, preferably G Suite.
Rectory School was founded in 1920 when the Reverend and Mrs. Frank H. Bigelow sought to create an individualized learning program for their son John. The benchmark program has developed into a distinct advantage of a Rectory education. Rectory has the capacity to meet the educational needs and aspirations of a wide range of students – from strong traditional learners to those who have inquisitive minds but need more academic support.
Rectory School’s 138-acre rural campus provides a scenic and secure home to approximately 270 students covering the ages from Pre-K to 9th grade. Rectory is a coeducational institution at all levels. The 5th – 9th grade junior school has approximately 210 students 147 of whom are boarding students. These students come to Rectory from all around the United States and from nine different countries. Average class size is 10 and the student teacher ratio is 4:1.
